Document and Folder Access Types

Access Types

The following Access Types are currently supported:

  • Admins only (legacy) - files and folders with this access type are only visible to Admins. These folders and files are marked in gray as Admin only.

  • Admins and Specific Contacts (legacy) - files and folders with this access type are only visible to Admins. Additionally, they are also visible to contacts that meet the following criteria:
    • contacts who have been explicitly selected
    • contacts with specific tags
  • Admins and Contacts - files and folders with this access type are visible to Admins as well as contacts.
  • Permission Manager - files with this access type are managed in Contact Permissions. By default, folders are included within the Contact Permissions feature.
  • Public - files and folders with this access type are visible to the publc based on the portal url settings. If the fund has a public minisite, then any file marked as public will be accessible through the public minisite or through any other webpage where the public minisite is embedded.

Best Practices

  • Any new folder created will be set with Admins and Contacts Access Type, by default.
  • Other Access Types continue to be supported, however, using Admins and Contacts in conjunction with Contact Permissions for file access is recommended.
  • If you have other Access Types, it is strongly recommended to move everything over to Admins and Contacts so that all access falls under the Contact Permissions functionality.

IMPORTANT: Admins Only, Admins and Specific Contacts, and Public Access Types conflict with Contact Permissions and can cause document visibility issues that are difficult to troubleshoot.


Edit Access Types (legacy)

  1. From the Fund page, navigate to the Files tab.
  2. Click Edit to the right of the file name you want to edit.
  3. Verify the File/Folder name in the Edit pop-up window and use the Grant access to menu to make your modification.
  4. Click Save.
  5. To remove a file after it's been uploaded, simply locate the file in the Files section and click Remove.
  6. A pop-up window appears asking you to verify the action. Click OK.

IMPORTANT: If you do not see Grant access dropdown in the popup, this means the folder is visible to Admins and Contacts, subject to Contact Permissions.
