Functions: Permissions - Contacts

The Contact Permissions is a tab located in the Functions menu under Permissions. You can also access Contact Permissions at the fund level on the Fund Page: Access Tab. This feature allows you to control contact permissions over documents, email, and data as detailed below:


Types of Contact Permissions

TIP: Anytime you add a new fund, folder, contact to the system always make sure you double check permissions to ensure they are setup correctly.

  • Documents Permissions allow users access to documents while denying access in other cases. For example, you can grant access to all documents in a tax folder while denying access to all other, non-tax-related folders. The Contact Permissions access type for documents is either set at the time of bulk file upload or individual file upload at the fund and investment level.
  • Email Permissions determines which investor owner is included as an email recipient on updates that cover specific topics. For example, specific topics such as tax or investment updates. When the email check box is selected in the Contact Permissions, the system automatically sends out emails to users whose Contact Permissions is set up to include email.
  • Data Permissions are determined by document and email permissions. If a contact does not have access to any folder within a fund, they will not have access to the investor's financial data of that fund. For reference, both email and document permissions are managed at the folder level whereas data is managed at the fund level.

IMPORTANT: To ensure data privacy and security, admins are not able to select multiple permission models to view documents, email and data for investors and contacts. In addition, admins are not able to upload to the root folder as the root folder is not governed by the Contact Permissions Manager. This means investors that don't already have access to folders and their contents will also be unable to view folder names on the portal.

Edit the Contact Permissions

  1. Navigate to Functions and select Contact Permissions from the menu. By default, the Contact Permissions is organized by Fund.

  1. Use the dropdown menu to Filter by Fund, Filter by Investor, or Filter by Contact. You can select multiple options available when filtering, or, click Reset to clear the filters.

  2. The page refreshes to display your selections.
  3. Click the Edit button located above the table on the right.

  4. On the Edit Contact Permissions page use the checkboxes to tick each section to determine if the contact will have document and/or email permissions for the folder that matches the column in that property.

  5. Click Save.

NOTE: The contact within an investor can view only the selected Documents and/or Email within the named column in the chart.


Edit Contact Permissions for Single Contact

IMPORTANT: This workflow only allows you to edit permissions for one contact at a time, for all of the contact's related funds.

  1. Navigate to Functions and select Permissions from the menu and click on the Contacts tab. By default, the Contact Permissions is organized by Fund.
  2. Using the Contact filter select the individual contact to edit permissions. Then, click the Edit Contact button located in the upper right corner.

  3. Next, use the checkboxes to make your changes and click Save when done.


Edit Permissions from the Fund Page

  1. From the Fund page, click on the Access tab. Use the dropdown menu to Filter by Investor or Filter by Contact as needed. You can select multiple options available when filtering.

  1. Then click the Edit button to view the Edit Permissions page.
  2. Use the checkboxes to tick each section to determine if the contact will have document and/or email permissions for the named folder matching the column header in the fund. Use the Data column to set financial data permissions
  3. Click Save.

Bulk Upload Permissions

If you need to download and save the Permissions page for future reference or bulk upload an existing Permissions file, please refer to the details below to effectively take these actions.

TIP: Click the Download XLSX button to download and save the file as a worksheet separated by fund. This file will have the same format and information as presented on the Permissions page.
