Functions: Communications
The Communications page provides information related to all aspects of communications on the portal, including emails and newsletters. The page is organized in tabbed format based on communication type.
Email Bounce & Activity Report
Access the Communications Page
To access the email report tool, simply navigate to the top menu bar → Functions → Communications.
The page is organized by tabs grouped by communication type: Emails, Email Templates, Newsletters, Invite Contacts and Email Bounce & Activity. Click on the related tabs to meet your communication needs.
Emails
The Email report provides a breakdown of all emails sent out from the portal. Filters are available above the table to locate specific emails, regardless of status. The Email Wizard workflow can be launched from this tab to send emails as well as publish emails as a fund update, as needed.
- Email ID - opens the email wizard in the relevant step
- Date sent - the date the email was most recently sent
- Status - check the columns for email and Fund update statuses: Draft, Sent, Published
Email Templates
Admins can use pre-made email templates and create custom email templates for specific scenarios, such as Capital Calls, Distributions, Tax, and Legal purposes. To save time, fund email templates can be duplicated, edited and saved to repurpose for recurring scenarios. For more information, refer to the article: Email Templates.
Newsletters
Newsletters can be leveraged for multiple scenarios such as company updates to be sent to all software users or multiple fund updates to be sent to relevant groups of users in one clear and concise newsletter. The Newsletters tab includes information related to all newsletters created, as well as their status: Sent, Draft. Admins can create a new newsletter and modify existing newsletters on this tab. Invite Contacts
The Invite Contacts tab displays all information related to contacts that have been invited to access the portal, their email address, date the invite email was sent, last login and date created. Admins can download the list and send invitations from this tab as well. For more information refer to: Invite Contacts in Bulk
Email Bounce & Activity
The bounce report shows what emails were not delivered to your users in the last 45 days. It provides a breakdown of the following information.
- Date and Time
- Bounce Type
If the email was bounced, check the reason for the bounce under the Bounce Type column. You can see more details about the reason for the bounce by hovering your cursor over the Bounce Type text.
NOTE: The most common reason for an email bounce is a typo in the email address.

- Date and Time
- Subject
- Status (Clicked/Opened)
All details are displayed in list form and can be filtered by All Subjects and All Emails.
When using the filters, information is displayed above the table by each category and quantity:
Days / Emails Sent / Emails Opened / Links Clicked / Users logged in after the email was sent.
IMPORTANT: Information about OPENED Status on the Email Report
Email protocols do not have a built-in feature to acknowledge if an email was opened or not. To track email opens, Sensr Portal as well as virtually all email solutions (ie: MailChimp, Constant Contact, Salesforce, etc.) use a method called pixel tracking. Some email clients will avoid this for privacy reasons and then you'll see Sent rather than Opened. In addition, some email clients will mark all emails as Opened even before a user actually opens the email. This happens when an email client loads all images in advance for performance reasons. The bottom line is that for virtually all email solutions an Opened vs. Sent status on emails is correct with most email clients, but is not guaranteed.
